The Bid Manager contributes to SALES GROWTH by supporting allocated Area Sales Managers with QUOTES & TENDERS as required. This role drives the financial performance of the business through WIN RATE and influence of CORRECT PRICING and gatekeeping of MARGIN / DISCOUNTS that meets or exceeds company policy. 

Key responsibilities

  • Be the main point of contact for your assigned Area Sales Managers with whom you will work closely with on tenders, quotes and orders.
  • Review of Invitation to Tender (ITT) & PQQ documents to determine contractor tender return requirements.
  • Assemble, collate, and edit written document content for tender responses to answer all Tender questions fully.
  • To liaise & proactively collaborate with colleagues across the KOMPAN Group to gain comprehensive and relevant information for inclusion in Tenders.
  • Requesting, collating, and editing written content provided by other departments and KOMPAN partners to meet the client Tender specification.
  • Effectively manage bid timelines (multiple projects at once). Ensure all Tenders are delivered on time.
  • Process Orders as requested by your assigned Area Sales Manager.
  • Use internal KOMPAN business systems, MS Word, Excel & PowerPoint to compile information for inclusion in quotes and Tenders.
  • Maintain detailed records & accurate data in the company’s business systems.
  • Raising invoices for some customer types
  • Source quotes from KOMPAN partner suppliers as required to compile pricing information for quotes and Tenders.
  • Close liaison with KOMPAN colleagues to share best practice and workload. 

Experience

  • Proven capability to take the lead in responding to Tender Framework and multi-site/ complex bids
  • Proven track record of successful bid writing & creating compelling sales documents including pricing & quotations
  • Proven track record of prioritizing workload to meet agreed timescales & deadlines & ability to manage own workload in a fast-paced, multi-tasking environment
  • A highly proficient and independent user of Microsoft Word, Excel, PowerPoint & experience of using CRM systems
  • Excellent communication skills both written and verbal
  • Consistent high standard of customer service to Area Sales Managers & Regional Sales Managers, and Internal stakeholders
  • Track record of thriving in a dynamic team & fast paced environment
  • Able to work autonomously with excellent project management skills, proactively managing personal workload and supporting others with setting their own priorities
  • Experienced in raising quotations, calculating detailed pricing with profit margins
  • Actively demonstrates the KOMPAN Group values for behaviour in Passion, Progress, Performance & People towards customers and colleagues
  • Structured and accurate, especially with data input skills, excellent attention to detail
  • A natural multi-tasker, able to track and manage multiple projects concurrently
  • Able to work under pressure and to tight deadlines

In addition, the following experience would be advantageous:

  • Experience of tendering for Local Authorities
  • Experience of the construction/ landscape or similar industry

We are seeking a highly organised and proactive Project Coordinator to join our team in the playground industry. The ideal candidate will be responsible for overseeing the smooth execution of playground installation projects, from handover to completion. You’ll coordinate internal teams, liaise with clients, and ensure projects are delivered on time, within scope and budget.

This role requires a working knowledge of Microsoft Dynamics 365 Business Central (BC14) and CRM systems, as well as excellent communication and time management skills.

Key Responsibilities:

  • Coordinate and monitor all stages of multiple playground projects, from initial planning to completion.
  • Work closely with Contract Managers to keep projects running smoothly. 
  • Act as a central point of contact between sales, design, logistics, and installation teams.
  • Take an active role in managing resource allocation. 
  • Maintain accurate project timelines, budgets, and documentation.
  • Use BC14 to manage project financials, procurement, and inventory tracking.
  • Use CRM systems to track project milestones and log communication history.
  • Schedule and manage deliveries and installation dates.
  • Liaise with contractors, and third-party suppliers to ensure smooth operations.
  • Identify and resolve project risks or delays quickly and effectively.
  • Ensure all projects adhere to health and safety guidelines and industry regulations.
  • Raise project invoices upon completion ensuring accuracy and timely processing

Key Requirements:

  • Proven experience in a project coordination or project support role, ideally within playgrounds, or a related outdoor/installation industry.
  • Proficiency with Microsoft Dynamics 365 Business Central 
  • Experience using CRM systems to manage project data.
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Comfortable working in a fast-paced environment with multiple projects.
  • Basic understanding of playground safety standards and UK regulations is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams).
