KOMPAN U.S. is seeking a detail-oriented and highly organized Bid & Proposal Coordinator to support the creation and submission of proposals in response to formal Requests for Proposal (RFPs) from organizations across the country. These proposals support our mission to bring innovative playground and outdoor fitness solutions to communities nationwide.
Reporting directly to the Bid & Proposal Manager, the Bid & Proposal Coordinator will work closely with the Bid & Proposal Analyst to identify opportunities and ensure adherence to KOMPAN’s established bid process. This role also involves collaborating with Direct Sales Representatives across the U.S. and various internal departments to gather information and develop accurate, compliant, and compelling proposal packages.

What You’ll Do
- Coordinate the drafting, packaging, and submission of proposals
- Ensure timely submission of deliverables from Sales, Design, Installation/Service, Finance, and Sales Coordination teams
- Coordinate responses to RFIs (Requests for Information) and prequalification requests submitted by Sales or the Business Development team
- Serve as the team's master data gatekeeper by maintaining and improving templates, managing company data, and organizing relevant references (e.g., past projects)
- Maintain client registration forms and ensure timely updates ahead of renewal deadlines to ensure ongoing compliance with applicable guidelines
- Establish lasting relationships and collaboration with our dedicated sales professionals
- Ensure compliance with government regulations at the local, state, and federal levels
- Support Bid & Proposal Analysts and Bid & Proposal Manager in project management activities
- Execute post-bid activities, including revisions, client follow-ups, and reason codes
- Provide support to cross-functional colleagues as needed
What You’ll Need
- 2+ years of professional experience (experience in the construction industry or public sector is a plus)
- Background in proposals, bids, RFP coordination, contracts, or similar is strongly preferred
- Exceptional writing and editing skills with a talent for enhancing clarity, organization, flow, and overall impact of proposal materials
- Excellent verbal and written communication skills
- Strong project coordination abilities, with a proven ability to meet and effectively prioritize multiple deadlines
- Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and Adobe Acrobat
- Highly organized, methodical, and detail-focused
- Self-motivated and proactive, with the ability to anticipate needs and solve problems independently
- A team player with strong interpersonal skills - collaborative, accommodating, and a great listener
